The railbike lighting calendar, from booking to takedown

A lit railbike season runs on its own calendar, separate from the ride schedule itself. Here is roughly what happens from the first booking call to the equipment coming down.

The booking window opens in January

Thraxel's railbike and rail-tourism clients book their season between January and June, which is earlier than most operators expect to be thinking about December lighting. The reason is lead time: a corridor project involves design, ordering, install and commissioning, and all of that has to land before the nights an operator actually wants lit.

Think of the calendar in three blocks: booking and design in the first half of the year, install and commissioning in the months leading up to the target season, and the operating season itself once the system is live. Each block has its own lead time, and skipping ahead in one usually means scrambling in the next.

Booking in the first half of the window, January through March, gives the most flexibility on install dates. Booking in May or June still works, but it compresses everything that comes after into a tighter window.

A site walk instead of a driveway consult

Install typically moves from the depot outward: track-side runs first, then structure work at the trestle and tunnel, coordinated around whatever operating schedule the railbike company is still running during install.

A crew rarely needs to shut a route down entirely to work on it. Sections can be lit while other parts of the corridor are still under install, which is part of why coordinating with the operator's own schedule matters as much as the physical work itself.

Commissioning is the last step before handoff, every zone tested and every scene mapped and confirmed working, so the system is ready on day one rather than something the operator has to debug after Thraxel leaves.

Operator training happens in this same window, right after commissioning, so the crew running the ticket window is comfortable with the app before the first lit trip departs rather than learning it on the fly.

A mid-season check most operators forget to schedule

A mid-season check is built into the standard scope, a return visit partway through the season to catch a dark pixel run or a controller issue before it turns into a refunded trip on a busy Saturday.

This is the step that separates a lighting system from a lighting install-and-hope. The hardware is IP67 marine-grade and built for outdoor exposure, but a route running trips several nights a week gets more wear than a residential roofline, so the check matters more here than on a house.

Scheduling it is simple: it lands roughly midway through whatever stretch of the calendar an operator runs lit trips, timed to fall before the busiest weekends rather than after.

The calendar runs past December

A common assumption is that railbike lighting is a Christmas-only build. It is not. The same system runs Everyday Warm most of the year, switches to Halloween in October and Christmas in December, and can run July 4th or Game Day scenes for other events on the calendar.

January again: takedown, storage, and the next booking window

Takedown and storage happen the same way a residential Christmas display comes down: equipment removed, labeled and packaged for the next season, timed around when the operator's own season winds down rather than a fixed calendar date.

That takedown lands right around the time the next booking window opens. Operators who want lighting again the following year, or a new operator considering it for the first time, are back to the January-through-June conversation described at the top of this post.

Between one season's takedown and the next season's install, the equipment itself does not age the way exposed hardware left up year-round would. Storage protects the same fixtures for reuse rather than requiring a fresh purchase each winter.
